Our original librarian is using this as a way to hand process books. I would like here to continue the way she wants to until I get things transferred to computer.  It will be easier getting it entered that way. We have just purchased software, and it hasn't arrived yet.

  • I would suggest not buying a new accession book -- use the time between now and getting the software and computer set up to be sure your materials are ready to be entered into a new library database. Inventory and Weed, Weed, Weed! Check to see that all media is classified correctly.

    Decide on a system for entering data. Is someone going to enter the data manually or will you send your information to the software company for them to create your database?

    In what section will you begin? How will you get all information needed for the database together for the data entry person? Will you use the original accession number (item ID or Barcode number) or start over with new numbers? (I suggest keeping the original numbers.) Decide if you will replace labels (especially spine labels--the library looks really nice when all labels are at the same level on each book!) and be sure you have the supplies on hand that you will need to begin.

    When the computer and software are ready for data entry, you can start then to enter not only the original library materials, but the new materials as well! Be sure to check with your library management software vendor to see how to use the original accession numbers and how to enter new materials.
